Ray Smith, CPA, no longer frustrated by poor service

Ray Smith, CPA, an accounting firm located in Richardson, TX, decided it was time to move their office to a premier cloud partner. He and his staff of four at the Richardson, Texas, firm had been experiencing frustrating connectivity and server problems for years. The firm’s efforts to provide personal service by visiting clients’ offices were regularly hampered by remote access problems, and Smith doubted the issue could ever be fixed. Smith’s IT problems began about four years ago. At the same time, he found that the larger, higher-quality IT companies simply didn’t want to work with a firm that had only four desktops. Undeterred, the company tried two smaller IT firms over the next three years, but neither performed well. Even upgrading to Windows Server 2012 turned out to be a horrible experience. The server was never configured properly, but no one could track down who had configured the router to fix it. This meant that employees continued to have problems connecting in-house and remotely, printing, and with slow networks. The clients’ IT teams offered to help, but this made things worse. “My IT guy and the client’s IT guy started pointing their fingers back at each other,” Smith said. “It was one fiasco after the next.”  In terms of lost productivity, Smith estimated he was wasting at least two hours a day trying to solve IT problems, and the firm lost at least 10 to 15 billable hours a month. His employees visiting clients would lose big chunks of their day when nothing would work. But perhaps most disturbing to the firm’s future was that although their IT provider offered back-ups, it estimated that if the company’s servers ever went down for good, it would take several weeks to try to restore the lost data. This was not an acceptable risk. Right around the time Smith was searching for better solutions, two clients requested more control over their data. “They wanted us to continue doing their work, but wanted to start logging in and looking at their own reports, rather than having us send them,” he said. “We…wondered how we were going to do this since we [couldn’t] even get sophisticated enough to have one of our people do remote access, and now we had to figure out how a client [could] access their QuickBooks?” At the same time, a new legal firm was seeking QuickBooks help integrating Sage Timeslips, but they didn’t even have a server. “We [had] absolutely no idea what to do,” Smith said. “But I sold [it] on the premise that we were going to make it happen for them.” Smith began exploring cloud options and learned about different providers.
